Many people want to read their business email inside the Gmail or Outlook.com website they already use. Google and Microsoft have both withdrawn that feature for outside mailboxes, so this guide explains what has changed and the best ways to keep everything in one place: the Gmail or Outlook app on your phone, Outlook on your computer, or Host Dada Webmail in any browser.
The short answer
| Where you want to read your email | Does it work? |
|---|---|
| Gmail app on iPhone, iPad or Android | Yes. Add your Host Dada mailbox as an IMAP account (steps below). |
| Outlook app on iPhone, iPad or Android | Yes. Add it as an IMAP account. |
| Outlook for Windows (new or classic) or Outlook for Mac | Yes. Add it as an IMAP account. |
| Host Dada Webmail in any browser | Yes. Nothing to set up. |
| Gmail website (gmail.com on a computer) | No longer for new setups. See below. |
| Outlook.com website (outlook.live.com) | No. Microsoft removed this feature. |
What changed at Gmail and Outlook.com
- Gmail on a computer: the Check mail from other accounts setting (which collected mail from another provider over POP) stopped accepting new setups after March 2026. Google says existing connections keep working only until January 2027, when the setting is removed. Gmailify is being withdrawn at the same time. Google also says the Send mail as option for outside addresses ends in January 2027. See Google's notice: Upcoming changes to Gmailify and POP in Gmail.
- Outlook.com: Microsoft removed the ability to connect new outside accounts to Outlook.com on the web. Microsoft's own advice is to add the account in the Outlook apps instead. See Microsoft's help page.
Neither change is anything to do with Host Dada: they apply to every email provider. Your mailbox keeps working as normal everywhere else.
Before you start
- Your full email address and its password. If you've forgotten it, see How to change or reset an email password.
- The mailbox must already exist (see How to create an email account).
Settings you'll need
| Setting | Value |
|---|---|
| Account type | IMAP (keeps your phone, computer and webmail in sync) |
| Username | Your full email address, for example you@yourbusiness.co.uk |
| Incoming server (IMAP) | imap.yourbusiness.co.uk, port 993, SSL/TLS |
| Outgoing server (SMTP) | smtp.yourbusiness.co.uk, port 587, STARTTLS, sign-in required |
yourbusiness.co.uk with your own domain, the part after the @ in your email address. If those names won't connect or show a certificate warning, use imap.stackmail.com and smtp.stackmail.com instead, with the same ports and sign-in details.Option 1: Gmail app on iPhone or iPad
- Open the Gmail app and tap your profile picture at the top right.
- Tap Add another account, then Other (IMAP).
- Enter your full email address and tap Next.
- Enter your password and the server settings from the table above when asked. Use the full email address as the username for both incoming and outgoing.
- Finish. Your Host Dada inbox appears in the Gmail app. Tap your profile picture to switch between accounts, or choose All inboxes from the menu to see everything together.
Option 2: Gmail app on Android
Follow Set up Host Dada email on Android (Gmail and Outlook apps). It covers the Gmail app step by step.
Option 3: Outlook on your phone or computer
- Outlook app on iPhone, iPad or Android: open Outlook, go to Settings → Add mail account, enter your email address, choose IMAP and enter the settings above. For Android, see our Android guide.
- Windows: Set up Host Dada email in Outlook for Windows (new and classic)
- Mac: Set up Host Dada email in Outlook for Mac
Option 4: Host Dada Webmail on any computer
If you want to use a browser rather than an app, go to webmail.hostdada.uk and sign in with your full email address and password. Because IMAP keeps everything in sync, anything you read, send or file in webmail also shows in your phone and Outlook. See How to log in to Host Dada Webmail.
What about forwarding to my Gmail address?
You can forward a copy of your Host Dada email to a Gmail or Outlook.com address (see How to forward email to another address). It's handy for keeping an eye on an address, but it has drawbacks:
- When you reply from Gmail, the reply comes from your Gmail address, not your business address. (Gmail's Send mail as option ends in January 2027.)
- Gmail and Outlook.com check where mail really came from, so some forwarded messages can land in spam or be rejected.
For business email, adding the mailbox to an app as IMAP (options 1 to 3) is more reliable.
Troubleshooting
I can't find "Check mail from other accounts" in Gmail
Google has withdrawn it for new setups, so it may be missing or may refuse to add a new account. Use the Gmail app on your phone (options 1 and 2) or Outlook (option 3) instead.
The app says it can't connect or the password is wrong
Check that the username is your full email address, the incoming server is imap.yourbusiness.co.uk on port 993 and the outgoing server is smtp.yourbusiness.co.uk on port 587, using your own domain. Try signing in to webmail with the same details. If webmail rejects them too, reset the password.
I get a certificate warning
This usually means the free SSL certificate for your domain isn't active yet. Change the servers to imap.stackmail.com and smtp.stackmail.com. See Certificate warning in my email program.
My email is with Microsoft 365, not Host Dada Email
Microsoft 365 mailboxes already have their own web version: Outlook on the web. See Outlook on the web (OWA): complete guide to Microsoft 365 webmail.
