Outlook Desktop — Complete Setup & User Guide

This guide covers everything you need to get Outlook working on Windows and Mac — from adding your Microsoft 365 account for the first time, to configuring calendars, managing rules, and fixing the most common connection problems.

Setting Up Outlook on Windows

First-time setup (Outlook 2016, 2019, Microsoft 365)

  1. Open Outlook. If no account has been added before, the setup wizard starts automatically.
  2. If the wizard does not appear, go to File → Add Account.
  3. Enter your Microsoft 365 email address and click Connect.
  4. Enter your password when prompted. If your organisation uses Single Sign-On (SSO), you may be redirected to your login portal.
  5. If Multi-Factor Authentication (MFA) is enabled, complete the verification step.
  6. Outlook will configure the account automatically using Autodiscover. Click Done.

Note: Outlook requires an active Microsoft 365 licence assigned to the account. If setup fails at the password step, confirm the user has a licence in the admin centre.

Adding a second account

  1. Go to File → Add Account.
  2. Enter the additional email address and click Connect.
  3. Follow the authentication prompts.
  4. Once added, both accounts appear in the left panel. Use the Inbox under each account to view email separately, or use Unified Inbox to see all email together.

Setting Up Outlook on Mac

  1. Open Outlook for Mac.
  2. Go to Tools → Accounts.
  3. Click +New Account.
  4. Enter your Microsoft 365 email address and click Continue.
  5. Enter your password (or use the Microsoft sign-in page if redirected).
  6. Click Add Account, then Done.

Outlook for Mac configures Exchange settings automatically. Manual server entry is not required for Microsoft 365 accounts.


Adding a Shared Mailbox in Outlook

Shared mailboxes usually appear automatically within 30 minutes of being granted access. If they do not:

Windows

  1. Go to File → Account Settings → Account Settings.
  2. Select your Microsoft 365 account → click Change.
  3. Click More Settings → Advanced → Add.
  4. Enter the shared mailbox email address and click OK.
  5. Click Next → Finish. The shared mailbox appears in the left panel.

Mac

  1. Go to Tools → Accounts.
  2. Select your account → click Advanced.
  3. Click Delegates and add the shared mailbox under Open these additional mailboxes.

Creating and managing rules

Rules automatically sort, forward, or flag incoming email based on conditions you define.

  1. Go to Home → Rules → Manage Rules & Alerts (Windows) or Tools → Rules (Mac).
  2. Click New Rule.
  3. Choose a template (e.g. Move messages from someone to a folder) or start from a blank rule.
  4. Set the condition (e.g. sender address, subject keywords, recipient).
  5. Set the action (e.g. move to folder, forward to, delete).
  6. Add exceptions if needed, then name the rule and click Finish.

Setting an out-of-office (automatic reply)

  1. Go to File → Automatic Replies (Out of Office).
  2. Select Send automatic replies.
  3. Optionally tick Only send during this time range and set your dates.
  4. Write your reply for Inside My Organisation and (if needed) Outside My Organisation.
  5. Click OK.

Focused Inbox

Focused Inbox separates important email from the rest, placing high-priority messages under Focused and everything else under Other.

  • Enable or disable it via View → Show Focused Inbox.
  • Train it by right-clicking emails and choosing Move to Focused or Move to Other.

Calendar — scheduling meetings

  1. Switch to Calendar in the left panel.
  2. Click New Meeting.
  3. Add attendees in the To field — click Scheduling Assistant to see their free/busy times.
  4. Set the date, time, and location or Teams meeting link.
  5. Click Send.

Contacts and the address book

  • The Global Address List (GAL) contains all users in your Microsoft 365 organisation and updates automatically.
  • Personal contacts are stored in People (bottom-left icon). Click New Contact to add one.
  • To search the GAL: start typing a name in the To field of a new email, or go to People → Search People.

Configuring IMAP or POP3 (Non-Exchange Accounts)

Microsoft 365 uses the Exchange protocol by default, which is recommended. If you need to add a non-Microsoft mailbox (e.g. a cPanel email account) using IMAP or POP3:

  1. Go to File → Add Account.
  2. Enter the email address and click Connect.
  3. If Outlook cannot auto-detect settings, click Advanced options → Let me set up my account manually.
  4. Choose IMAP or POP.
  5. Enter the incoming server (e.g. mail.yourdomain.co.uk, port 993 for IMAP SSL) and outgoing server (port 465 or 587 for SMTP SSL).
  6. Enter your password and click Connect.

Troubleshooting

Outlook keeps asking for a password

  • Open Control Panel → Credential Manager → Windows Credentials and remove any saved entries for Microsoft Office or MicrosoftOffice.
  • Check the account is not blocked in the admin centre: Users → Active users → Block sign-in.
  • If MFA was recently enabled, close Outlook and sign in again to complete MFA registration.
  • Run the Microsoft Support and Recovery Assistant (SaRA) — it auto-diagnoses this problem.

Outlook not connecting / stuck on "Connecting…"

  • Check status.office.com for any service outages.
  • Try Work Offline mode: Send/Receive → Work Offline, wait 30 seconds, then toggle it off.
  • If using a VPN, disconnect it temporarily to test.
  • Check that Autodiscover DNS is working: your domain should have a CNAME record autodiscover pointing to autodiscover.outlook.com.

Outlook profile is corrupted

  1. Go to Control Panel → Mail (Microsoft Outlook).
  2. Click Show Profiles → Add and create a new profile.
  3. Add your Microsoft 365 account to the new profile.
  4. Set it as the default and restart Outlook.

Emails sending slowly or stuck in Outbox

  • Check your internet connection — large attachments stall on slow connections.
  • Disable any third-party antivirus email scanning temporarily to test.
  • Try sending without attachments to confirm the issue is attachment-related.

Calendar not syncing

  • Go to Send/Receive → Send/Receive All Folders (F9 shortcut).
  • If the calendar is shared, ensure the owner has granted you the correct permission level.
  • Re-add the account if calendar sync remains broken after a manual send/receive.
